FlexyMailer is a personally maintained service. References to “we”, “us”, or “our” refer to the individual owner and any contributors.

  • Information processed for email transmission (MTA Service): When you use our MTA services to send or receive emails, we necessarily process the email content (including body and attachments) and metadata (such as headers, sender and recipient information, IP addresses, and timestamps). This processing is solely for the purpose of transmitting these emails as directed by you or your sending application. We do not access email content for purposes other than transmission, security, and troubleshooting.
  • Automatically collected technical information: This includes:
    • Log data related to email transmission (e.g., sender/recipient addresses, sending IP addresses, timestamps, delivery status, and diagnostic information, but not the body of the emails).
    • Device/browser details if you interact with any web interface we may provide.
    • IP addresses and usage patterns related to the use of our service interface.

2. Use of Information

The information we collect and process is used for the following purposes:

  • To provide, operate, maintain, and secure the MTA service, including the transmission of emails.
  • To notify you about critical updates or changes to the service.
  • To provide user support if you contact us.
  • To analyze and monitor usage to improve the service and ensure its stability.
  • To detect, prevent, and address abuse, security incidents, or technical issues.

3. Sharing of Information

  • With Service Providers (Infrastructure): We use third-party service providers for hosting our servers and potentially for hosting distributed MTA instances. For instance, communications between our MTAs and the servers are secured using SSL, and email transmissions to other providers are made using encrypted connections (such as TLS) where supported by the receiving party. However, please be aware that no method of transmission over the Internet or method of electronic storage is completely secure. While we strive to use reasonable measures to protect your personal information, we cannot guarantee its absolute security. Use of the service is at your own risk.


5. International Transfers

Your information, including personal data and email content processed for transmission, may be transferred to — and maintained on — computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction. Our servers and MTAs that form part of our service may be located in various jurisdictions. By using the service, you acknowledge and accept this potential transfer and processing of information in these locations.


6. Your Data Rights

Depending on your location, you may have certain rights regarding your personal data, such as the right to access, correct, or request deletion of personal information associated with your account (if applicable). Please contact us if you wish to inquire about exercising these rights. We will respond to requests as required by applicable law, bearing in mind the nature of a personally maintained service.

If FlexyMailer provides a web interface for account management or service interaction, it may use cookies essential for functionality, such as user authentication and session management. These cookies are not used for tracking, analytics, or advertising purposes.

8. Security and Bot Protection

To protect our services from abuse and spam, FlexyMailer may implement third-party CAPTCHA solutions such as:

  • Google reCAPTCHA (by Google LLC)
  • Cloudflare Turnstile (by Cloudflare, Inc.)

These services may analyze user behavior (e.g., mouse movements, typing patterns) and collect technical data (e.g., IP address, device/browser information) for the purpose of security and fraud prevention.

These CAPTCHA services may use cookies or similar technologies as part of their functionality. FlexyMailer integrates them solely for security purposes and does not use the data collected by these services for advertising, profiling, or analytics.


9. Data Retention

We retain personal information you provide (such as account details, if any) for as long as your account is active or as needed to provide you services. Email content processed for transmission via our MTA service is typically transient and not stored by us long-term beyond what is temporarily necessary for successful delivery, or for a short period in logs for troubleshooting or security purposes. MTA logs containing email metadata (as described in Section 1) are retained for a limited period necessary for service operation, security analysis, and abuse prevention, after which they are typically deleted or anonymized. You may request deletion of your account data, if applicable, at any time, subject to our need to retain certain information as required by law or for legitimate operational purposes.
